Running a small business is all about having the right tools for the job. With so many options available, it can be overwhelming to determine which ones are best suited for your needs. Luckily, as a software enthusiast, I've spent time testing and exploring various options, and am excited to share my top recommendations with you today.


It's important to note that not every tool is necessary for every small business. However, this list offers a great starting point for those looking to streamline their operations. From accounting solutions to marketing tools and business suites for team management, there's a tool for every small business on this list. And the best part? I use each and every one of these recommendations in my own business.

Notion

No surprise I am starting with Notion for years now I have used notion to start my day and end my day. I use Notion for personal and business use and it literally acts as a second brain to me. Keep a eye out for my monthly refresh of my notion dashboards, I find that I get much more done when the place I work in is aesthetically more pleasing and notion is great with this. Since you start with a blank page and create what you need it is completely customizable. Plus you can basically do everything with the free version. Check out Notion here but be prepared to fall in love.


Quickbooks

Intuit QuickBooks is one of the most popular accounting tools for small businesses. That’s because it’s robust and affordable. Accounting is one of the most important functions of your business, no matter what business you’re in, so finding the right financial solution for your business is important.

If you’re looking to save time on your bookkeeping, QuickBooks might just be for you. You can connect your business bank account, import transactions and automate their classification. Plus, sending invoices and collecting payment is a piece of cake. The software also allows you to tag transactions so you can figure out which part of your business is most profitable.


Sage One

Sage One has all the same functions as QuickBooks. You will note that it states QuickBooks or Sage One and this really depends on what is needed for your business. See my post on which one will suit you better. QuickBooks VS Sage One.


Financial Spreadsheet and invoice system

If you are not ready to use either QuickBooks or Sage One then have a look at my financial accounting template for small business. The most important function is that you keep accurate track of your finances. Because as I always say you are in this for the finance factor first and foremost.


Google Drive, Meet, Sheets and Docs

In the internet business era, Google Drive is used by pretty much everyone from small businesses to major corporations. It’s a great option for new entrepreneurs because you can access it for free—you just need to sign up for a Gmail account.

Google Drive gives you access to Google Docs, Sheets, and Slides, plus you can use Calendar, Chat, Meet, Forms, Photos, and a host of other great features. If you need a little more space than their standard 15 GB of cloud storage, you can get Gmail for Work for a small monthly subscription and double your storage.


Buffer

There are plenty of tools out there that can help you schedule your small business’ social media, for pretty much every budget. But Buffer comes with a free plan and it works with almost every platform you’ll want to use.

Buffer allows you to pre-schedule social media content so you don’t have to actively manage it on a daily basis. If you want more power than simply schedule, like analytics or engagement, you need a paid plan. But it’s a great place to start until you’re ready to grow.


Adobe scan

Scan your documents on the go. This app works great for scanning documents with your phone, is easy and has excellent results. We have tried a few over time, and this one performed best. See our post for more details on this app.


Click Up

I run my entire accounting practice through Click Up. I have tried many different platforms in the past but this one is by far the most versatile. It takes some time to set up and then you have a inhouse system that keeps track of every task and who should be doing what and when within your business. Task recurs as you need them thus once you set it up correctly you have a very helpful assistant reminding you what needs to be done when. It also doubles as record keeper for us. You can really customize this program to fit your needs.


Simplymeet.me

Online booking tool that has great free options. If you work with clients that is in a different time zone than you scheduling a meeting can become quite the back and forth and take forever to arrange. This tool allows you to say when you are available and the person can just book when they are available as well. Syncs with your current calendar. This personally has cut my scheduling time in half, clients are also more willing to just book a meeting to go over their accounts now. Check out my meeting page.


Spotify

Music and Podcasts platform to use across devices. Now this is not a necessary per say but it is free and there are so many podcasts that you can listen to while working that can broaden your knowledge base and help with your small business journey. To name just a few: The Diary Of A CEO , Modern Wisdom and Daily Stoic

Use these tools to make your everyday life better and more organized, running your business should not be part of your stress factors. Design systems that works for you. Here are some of my ways I figured out a system for my business that allowed me to focus on more important factors within my business.
